Your data in Voctari.
This policy covers the current local-processing Voctari Mac app, version 0.1.0. Julien Gadea publishes Voctari. Contact gadea.j@icloud.com with privacy questions or requests.
The public App Store release is still in preparation. This policy does not describe a live CRM or cloud service. We will update it before introducing features with different data practices. Our website privacy notice separately covers website visits and correspondence.
Recording and local processing
Voctari stores the audio and selected window video you record, recording details, transcripts, summaries, speaker labels, corrections and recognition terms on your Mac. These support recording, playback, transcription and review.
Transcription, speaker analysis and summary generation run locally with installed models. The current app does not send your recordings, transcripts, summaries or voice references to us or to an online AI service for processing.
You do not need a Voctari account for local recording. The current app has no active cloud-sync or CRM-delivery connection. Separate integration trials are not part of this local-app policy.
Your recording choices
Recording starts when you start it, or when your enabled automatic-recording settings trigger it. You can turn automatic recording off in Settings. The app needs macOS permission for the microphone and for the screen or system-audio sources you use.
Record only when you have the required permission from the people involved. A macOS permission prompt does not replace notice or consent required by law. Transcripts, speaker assignments and summaries can contain mistakes.
Speaker references and corrections
Speaker features can store labels and numerical voice references locally to help distinguish or recognize speakers. These references are not anonymous simply because they are numbers. Corrections and recognition terms also stay in local app storage.
Forgetting a saved person removes their stored voice exemplars from the speaker-profile store. This does not erase original recordings, historical transcript text or copies outside that store. Contact support if you need help identifying all related local information.
Internet access for model downloads
Setting up speech, summary and speaker-analysis models downloads files from Hugging Face and its delivery infrastructure. The app sends requests for model files, not meeting audio or transcripts.
The receiving hosting services can see network information such as your IP address and request details. They may process and retain that information under their own policies. We do not control their log-retention settings. See the Hugging Face privacy policy. This is why local AI processing does not mean the app never uses the internet.
Diagnostics and sending a problem report
The app keeps local diagnostic events and crash information to help investigate problems. Its structured event history uses defined event codes rather than recording or transcript content. A problem report can also contain a note you choose to write.
The current app has no configured diagnostic-upload server. It does not send reports automatically, even if a stored sharing preference exists. You can review local history in Settings โ Diagnostics and use its deletion controls.
To send us a problem report, open Support and email Julien. Review any text or attachment before sending. Do not include passwords, access tokens, private recordings or customer records. Adding these links does not enable automatic report sharing.
Copying text and opening links
When you choose to copy transcript or report text, it enters the macOS clipboard. Other apps or system clipboard features you use may then access it. Material you paste into another service is subject to that service and your choices there.
Help links open your default browser. Visiting this website or another linked site sends normal web requests to that site. The app does not attach recording contents or credentials to its support or privacy links.
Advertising and model training
The current app does not include an advertising or third-party analytics SDK. We do not receive local meeting content through the app for advertising, sale or shared-model training. Free access is not consent to a new use of your recordings.
Storage, retention and removal
Recordings and analysis files remain in local app storage until removed. The current app has no automatic recording-retention schedule and no in-app control to delete an entire recording with all related data.
Settings โ Storage & Privacy โ Show recordings in Finder reveals the recording directory. Do not remove files while recording or processing is active. Before manual removal, contact support if you are unsure which recording, analysis or speaker files are involved. We do not need your recordings to explain the storage locations.
Diagnostic history is bounded and has separate deletion controls. Model files and speaker profiles are stored separately from recordings. Uninstalling the app does not necessarily remove application data or backups. Backups and copies you made outside Voctari must be managed separately.
We cannot remotely retrieve or erase data that exists only on your Mac.
Information you send to support
If you email us, we receive your address, message and any attachments. We use them to answer your enquiry, investigate the problem and handle your requests. Messages are processed by the email providers involved, including Apple iCloud Mail for our support address. See Apple privacy information.
We retain correspondence while it is needed to address the enquiry and its follow-up, and where required to meet legal obligations or establish, exercise or defend legal claims. You can request deletion. We do not add you to a marketing list merely because you contact support.
Where GDPR applies to information we receive, responding to support enquiries relies on our legitimate interest in supporting users and addressing their requests. Applicable legal obligations provide a separate basis when we must retain or disclose information. This is not a claim that we receive or centrally control the recordings you keep locally.
Your rights and contact
Depending on applicable law, you may request access, correction, deletion, restriction or portability of personal data we hold, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. Some rights have exceptions.
Email gadea.j@icloud.com. We may ask for information needed to verify a request, but not for your passwords or private recording library. You may also complain to your local data-protection authority, including the CNIL in France.
Changes to this policy
We will update this page when app behavior or data practices change. New online integrations, report-sharing services or training uses require updated information and any necessary user choices before they begin. The date and app-version scope above identify this policy.
